Introduction

Privacy of our client’s data and information is at the heart of Sister’s operation. Being privy to sensitive and confidential data throughout the consultancy process requires Sister to be entirely confidential at all times. Should further consultants be involved in a project then a clients’ contact details would only be shared following approval from the client, and in most cases will not need to be shared directly with a consultant other than Jenny Bones, Lead Consultant.

Who we are

Sister is an events and venue consultancy service, based at 43 Chichester Road, Tonbridge, Kent, TN9 2TJ. The founder is Jenny Bones, who acts as a sole trader.

What information do we collect?

We collect data in two ways:

Reactively – a potential client will contact us through the website and sends us a contact form requesting a call back/email with further information, and therefore ‘opting in’ to be contacted

 or/

Proactively – we may source contact details of key personnel from venue websites, LinkedIn and local publications where it is publically available. We do not source any contact details through 3rd party organisations.

In both circumstances the data is collated into an encrypted database spreadsheet with contact names, postal address, email address and appropriate phone number.  This information is used during correspondence with the client, and stored for future mailings sent both electronically and via the post.

Any data viewed and handled by Sister on the relevant venue will always be handled with complete confidentially, and a ‘Confidentiality Agreement’ can be signed on request at any time.

No data is collected from 3rd parties.

How do we use the data?

We may analyse data from the website to understand trends and website performance but the website is not designed to collect personal data unless the contact form is completed and sent to Sister HQ.

When do we share personal data?

The only time we will need to share your contact information is if Sister require an additional consultant to join the project and request to speak with the client directly. Consent from the client will be sought before any information is shared and a consultant is brought on-board.

Following consent, personal data would only be shared via email or over the phone.

How long do we keep your personal data for?

According to UK Law your data will be stored for up to 7 years, however we may delete it annually if considered no longer relevant or reasonably necessary.  

Your rights in relation to personal data

Under the GDPR regulations we respect the right of data subjects to access and control their personal data.

 Therefore at any time if you wish to access personal information, correct or delete data or withdraw consent you can exercise your rights under GDPR regulations, and contact us to be removed from the database at any time.
